About Customer

FarmIndia is an agri-based commodity trading house with offices located across India. They trade in various grains, pulses, oil seeds, and extractions both domestically and internationally. They have been steadily growing and venturing into new commodities and markets and hope to have an international presence in origin markets in the near future.

Challenge

As FarmIndia's business grew, they found themselves constrained by outdated operational systems that couldn't match their expansion pace.

Key problems faced by the company were;

1. Manual Operations: Sales management, order processing, and inventory control operations were handled manually, creating inefficiencies and limiting growth potential.

2. Lack of Effective Reporting and Analytics: The company needed a solution to provide actionable insights through better analytics and reporting, which would enable smarter decision-making.

3.  Inefficient HR Tools: The existing tools for managing employee operations were inadequate and lacked the efficiency needed for smooth people management.

Solution

Zoho Creator for Streamlined Sales, Order, Purchase, and Inventory Management

To address the operational challenges, a custom solution was built using Zoho Creator to automate and streamline critical business processes.

A custom application was built for Sales Management to handle contacts and accounts.

Order Management, Purchase and Inventory Management: The system facilitates efficient customer order management and order tracking. It also includes a robust Purchase and Inventory Management solution, with features such as Purchase Order Management, Purchase Requisitions (PR), Requests for Quotations (RFQ), Purchase Orders (PO), Purchase Bills, Goods Receipt Notes (GRN), and Vendor Invoice Verification. This ensures a streamlined and accurate procurement process.

The system enables comprehensive inventory tracking, providing businesses with the ability to manage stock across multiple locations or warehouses. A process was also created to return stock to vendors if needed, ensuring flexibility in inventory management.

Zoho Analytics for Comprehensive Analytics and Reporting

Custom reports and dashboards were created using Zoho Analytics to provide comprehensive insights into key
business areas, including Sales Order Reporting, Purchase Reports, and Inventory Reports. Additionally, embedded
URLs within Zoho Creator were utilized to automate report generation.

Zoho People and Zoho Payroll for Streamlined HR and Payroll Management

Zoho People was implemented to manage attendance, leave, employee training, travel, and performance monitoring.
Workflow automation and approval rules were set up to streamline approval processes. Additionally, Zoho People was
integrated with biometric devices for accurate attendance tracking. The Zoho Payroll system was also implemented
for efficient payroll management, ensuring timely and accurate salary processing.
